From Frustration to Innovation: My Journey Integrating AI into Ophthalmic Practice

As an ophthalmologist and founder of Coastal Eye Care and Coastal Eye Surgery Center in Ellsworth, Maine, I’ve faced firsthand the growing strain of administrative demands alongside my clinical responsibilities. Like many of my colleagues, I found myself increasingly bogged down by declining reimbursements, complicated payer requirements and a myriad of operational tasks. These distractions continually pulled my attention away from what I cherish most—caring for my patients.

 

By 2023, it was clear to me that traditional methods were no longer sufficient. My team and I decided to tackle this challenge head-on by exploring innovative ways to streamline administration through artificial intelligence. I was particularly driven by the desire to reclaim the time and energy lost in paperwork, coding and regulatory compliance.

 

Developing an AI-Driven Administrative Assistant

Through collaboration with AI specialists, we developed a tailored AI-driven assistant specifically for ophthalmology practices.   • Conducting outreach to payors across phone calls, e-fax sending and portal engagement. We’ve leveraged AI to review each chart individually to ensure that the proper care steps are taken and that the chart is billed accurately and compliantly.
  • Accelerating post-visit processes, including claims submissions and error reduction.

 

Lessons from Our Implementation Experience

 Incorporating AI into our practice was rewarding, but it wasn’t without its challenges. Based on our experience, the keys to successful implementation included:

  1. Keeping it simple: We ensured the AI tool integrated smoothly into our current systems without causing disruption.
  2. Building trust: Comprehensive training and user-friendly design helped reassure our staff that AI was an enhancement rather than a replacement.
